What is UC San Diego Unified Messaging?
UC San Diego Unified Messaging integrates campus voice mail with campus e-mail, allowing Faculty and Staff to access and manage all messages in a more efficient and unified manner from any telephone land line, mobile phone, and mail client from a laptop/ desktop computer.
UC San Diego Unified Messaging architecture is part of the centrally managed AD/Exchange environment on campus.
Email accounts hosted within this environment will be able to use all of the enabled UM features.
Email accounts hosted outside of this environment (i.e., departmental hosted email) will not be able to use some of the features.
Voicemail will be accessible by telephone for all customers.

What steps do I need to take in order to start using UC San Diego Unified Messaging?
In order to start using UC San Diego Unified Messaging, you should take the following steps:
- Dial 42000 from on campus
- Enter the default security code (given to user at time of CSR) for security purposes.
- The tutorial will guide you through recording your name, personal greeting and changing your Security Code.
- The system will prompt you to change your Seurity Code. You MUST set a new security code. Do not hang up until the tutorial finishes. Otherwise, your voicemail box will not save successfully!
- After the tutorial finishes, you will be placed into your mailbox. Congratulations! Your configuration is complete. At this point you may hang up…or stay a while and navigate around your mailbox to become familiar with the new system.
What number do I dial from my phone in order to access the new voicemail system?
To access the voicemail system, you can press the Message Waiting button (if lit) on your telephone. You can also dial 42000 from on campus.
If off campus, dial (858) 534-2000, and press # to access the system.
What should I do if I forget or lose my new voicemail Security Code?
If you forget or lose your voicemail security code, you can reset the security code by submitting a CSR.

How can I access voicemail messages for an extension other than my own?
From a campus extension, call the Voicemail system at ext 42000.

The Message Indicator Light on my phone is on, yet I do not have any new voicemail messages. What do I do?

What are the one-time and monthly costs for the voicemail system?

Do all voicemail accounts have the Speech to Text featureturned on?
No, by default, the Speech To Text feature will not be activated.
If you would like to "Opt In" to activate the Speech To Text feature, please submit a CSR.
How do I change the name on the voicemail box?
From th main menu, select User Options (Option 3), Personal Options (Option 1) Name (Option 5) to change your name on your voicemail box.
Can I transfer a call directly to someone's voicemail without having it ring their line?
Yes. With the caller on the line, press "Access 2", dial 42000 and press *#. Next, enter the persons 5 digit extension, press #, and quickly hit the transfer button before their greeting plays.
Why does my phone go straight to voicemail?
Your phone line may have an “all call” diversion to Voicemail in place.
Lift receiver and dial # 2 # to cancel the all-call diversion.

Why does my phone only ring twice before it diverts to voicemail?
The 1st incoming call to your phone will ring four times. If you don't answer, it will divert to your pre-set diversion point.
The 2nd and subsequent incoming calls will only ring two times before diverting – as the phone system knows you aren’t available. It will reset back to four rings when you use the phone.
When you are available to take calls again, simply lift the receiver or press your Access 1 button to signal that you are available for incoming calls.

I have a few office locations with different campus phone numbers. Can all be linked to my ucsd email address?
Yes, please submit a CSR and provide the phone number/s and your email address you would like linked.
*If multple voicemail boxes are linked to one email address, the voicemail system will play your messages when you call into voicemail, but will not identify which extension the message was left at.
However, you will receive email notifications for each voicemail box, and its identifying extension, along with the audio file. If you have a digital phone, you will also have a flashing message waiting light indicator when a message is left.
Can I have one voicemail box for several campus phone lines, and still have the option to link one email address?
Yes, you can have multiple extensions share one voicemail box, and have the option to link it to one UCSD email address.
*When sharing a voicemail box, all callers will hear the same greeting/announcement regardless of which extension was dialed.
What if I want multiple people to receive email copies of voicemails for an individual or shared voicemail box?
If you would like multiple people to receive email copies of a voicemail, you have two options.
Option 1: Submit a CSR https://act.ucsd.edu/telecom/csr and include the mail group email address to be associated to the voicemail box.
(listserv email address, or mail enabled AD group address)
Option 2: (For existing voicemail boxes already linked to an email address)
Create a rule in Microsoft Office to forward copies of any received voicemail messages to the additional email addresses.
