Campus Vehicle Services

UC San Diego Fleet Services provides routine maintenance and automotive services for university-owned vehicles.

We support UC Climate Action goals by maintaining a sustainable fleet comprised of more than 60% alternative-fuel and hybrid vehicles. Fleet Services rents, leases and procures vehicles.

Note: Drivers on campus experiencing difficulties with personal vehicles can request basic roadside service through the Motorist Assistance Program.

Maintenance and Repair Services

The requesting department is responsible for service costs. 

  • Performing routine services (recommended every 4,000-6,000 miles or 4-6 month, whichever comes first)
  • Performing in-depth maintenance and repair services:
    • Vehicle inspection, outfitting and customization
    • Light engine and transmission repair
    • Brake, tire and air conditioning repair
    • Trailer inspection and repair
    • Golf cart repair
    • Emissions testing
  • Coordinating these services with outside shops:
    • Washing and detailing
    • Auto body, frame and paint repair
    • Front-end alignment
    • Upholstery repair
    • Radio installation
    • Engine and transmission overhaul
    • Radiator repair
    • Vehicle signage installation

Fleet Services does not machine parts or tow vehicles.

Service hours: 7:30 a.m. to midnight weekdays

  • For routine vehicle maintenance and repairs, call (858) 534-8410, 7:30 a.m. to 4 p.m. weekdays. If no one answers, leave a voicemail for processing the next business day.
  • For carts, contact our Cart Shop, (858) 534-0333.

Fueling

Follow these steps to fuel your department vehicle.

  1. Request an electronic fuel key by:
    • Contacting the Fleet Services office, (858) 534-3485, 7:30 a.m. to 4 p.m. weekdays, or
    • Visiting the Fleet Services office located on the east side of the Campus Services Complex across from the Central Garage ( map)
  2. If you call or email, you must pick up your electronic fuel key at the Fleet Services office. Fleet Services will assign a PIN number to your fuel key.
  3. Drive the vehicle to the fueling station located on the east side of the Campus Services Complex across from the Fleet Services office ( map). You can fuel a UC San Diego vehicle 24/7.
  4. Insert your electronic fuel key into the automated terminal near the pumps. The system will prompt you to enter:
    • Your PIN number
    • Current mileage
    • Number of the pump you want to use.
  5. Fill the tank.

Fleet Services recharges departments for fuel costs on a monthly basis.

Accident or Incident Reporting

All employees involved in accidents or incidents while driving university vehicles must report them to Risk Management, Fleet Services or the university's third-party administrator within 24 hours

Filing Accident or Incident Reports

When completing a report, include your 4-digit vehicle number and the date the accident or incident occurred. A Fleet Services employee will photograph the vehicle and arrange for estimates/repairs if necessary.

You can submit Vehicle Accident/Incident Reports in one of three ways:

  • Complete the Vehicle Accident/Incident Reporting Packet located inside the vehicle's glove compartment.
    • To order a Vehicle Accident/Incident Reporting Packet, contact Risk Management, (858) 246-0369, or Fleet Services, (858) 534-3485.
    • Return the completed packet to Fleet Services, Mail Code 0033.
  • Call the university's third-party administrator directly at 1-800-416-4029 to report the claim.
  • Complete the Vehicle Incident Report (PDF).
