How to Rent a Vehicle

  1. The department renting the vehicle for official business use must complete the Customer Section of the Vehicle Use Authorization Form (PDF) before picking up a vehicle. Ensure that the approving person with fiscal authority signs the form and that billing information is complete.
  2. Select the type of vehicle you want to rent (e.g., car, van, or truck).
  3. Collect this information to prepare a request:
    • Date and time you will pick up and return the vehicle from Fleet Services
    • Driver's name and destination (e.g., local, Orange County, etc.)
    • Department index or budget number and phone number
  4. Request a vehicle at least two business days in advance in one of four ways:
    • Reserve a vehicle in Oracle. Go to “Procurement > Purchase Requisitions > Type in “Vehicle Rental” in the search field. Select the vehicle that you want to rent and follow the instructions in Oracle.
    • Call Fleet Services, (858) 534-3485, 7:30 a.m. and 4 p.m. weekdays.
    • Fax your Vehicle Use Authorization Form to Fleet Services, (858) 534-2051.
    • Visit the Fleet Services office.
  5. Pick up your vehicle at Fleet Services.
    • Bring your completed Vehicle Use Authorization Form  with you, unless you reserved the vehicle through Marketplace or faxed your form to the office.
    • You must present a valid state driver's license when picking up your vehicle.
    • No university vehicles can be used off road — anything other than a paved surface; no exceptions.
  6. Return your vehicle to Fleet Services and complete the Vehicle Return Section of your Vehicle Use Authorization Form. If you return your vehicle during business hours, 7:30 a.m. to 4 p.m. weekdays, leave the key and form at the office. After business hours:
    • Park in the lot across from the Fleet Services office.
    • Lock the vehicle.
    • Put the key and your completed form in the Night Drop Box located outside the Fleet Services main gate.

Cancel any reservation at least 24 hours in advance to avoid a half-day rental charge.
