General Campus: Non-Department Base Endowed Chair Reappointments

Learn how a candidate is reappointed to a non-department-based endowed chair on the general campus.

Note: In general, reappointments to an endowed chair must be reviewed by a departmental review committee. However, an exception may be made if the chair holder’s record of accomplishment in all performance criteria in their academic series continues to be highly distinguished, meritorious, and in harmony with the stated terms, goals, and purpose of the endowed chair, and if the reappointment is in the best interest of the department, division, or school. Highly distinguished meritorious criteria includes teaching, reaching and service for appointees in the professorial series.

1. School Dean or Equivalent

Previews plan to reappointment a candidate to the endowed chair with Sr. AVC-Academic Affairs (SAVC-AA) and provides a general proposal.

Selects a committee* that will review and provide input on the identified final candidate:

  • Consists of five members representing the division
  • Consists only of members who are independent of the candidates (i.e., no collaborators or co-authors)

*Note: The requirement for the formation of a committee for reappointment in a department based endowed chair may be waived if the chair holder’s record of accomplishment in all performance criteria in their academic series continues to be highly distinguished, meritorious, and in harmony with the stated terms, goals, and purpose of the endowed chair, and if the reappointment is in the best interest of the department, division, or school. Approval to waive committee review can be requested from the Sr. AVC-Academic Affairs by the Dean when requesting pre-approval.

2. Sr. AVC Pre-Approval

Dean or equivalent initiates discussion with Sr. AVC – Academic affairs (SAVC-AA) to secure pre-approval for an endowed chair reappointment proposal.

Proposals must consist, at minimum, of a candidate’s most recent or up to date CV/BioBib, information about the endowed chair, an explanation on why the proposed candidate is appropriate, and formation of a nomination/ad hoc committee* when applicable.

The SAVC-AA reviews the proposed endowed chair appointment and will communicate endorsement, or lack thereof, via email to the Dean.

3. School Dean or Equivalent (If Committee Not Waived)

Initiates committee review of the proposed reappointment and provides the committee with the candidates’ Curriculum Vitae (CV) and the approved presidential item.

4. Committee (If Committee Not Waived)

Reviews the candidates' record of accomplishment in all performance criteria in the appointee’s series to ensure that it is:

  • Highly distinguished and meritorious.
  • Harmonious with the stated terms, goals, and purpose of the endowed chair.

Prepares a report recommending a nominee for reappointment and sends it to the Dean or equivalent.

5. School Dean or Equivalent

Reviews the committee's report (if not waived) and decides whether to endorse the reappointment.

  • Writes a letter indicating the decision.

Compiles and forwards an endowed chair reappointment packet to the Academic Personnel Services:

  • Candidate CV/Biobib
  • Committee report (If not waived)
  • Dean letter
  • Documentation of SAVC-AA pre-approval

6. Academic Personnel Services (APS)

Prepares the reappointment nomination packet for submission to the Senate Committee on Academic Personnel (CAP).

  • SAVC-AA transmittal letter to CAP
  • Dean letter
  • Committee report (If not waived)
  • Endowed chair establishment documents
  • Candidate CV/Biobib
  • Candidates most received academic review file

APS forwards the reappointment nomination packet to CAP

7. Senate Committee on Academic Personnel (CAP)

Reviews the reappointment nomination packet and academic file.

Renders a recommendation to the SAVC-AA, EVC, and Chancellor.

8. Academic Personnel Services (APS)

Prepares and forwards the reappointment nomination packet and reappointment letter for Chancellor review: 

  • Chancellor Clearance form
  • Draft reappointment letter
  • SAVC-AA transmittal letter to Chancellor
  • Background summary
  • CAP recommendation
  • SAVC-AA transmittal letter to CAP
  • Dean letter
  • Committee report (If not waived)
  • Endowed chair establishment documents
  • Candidate CV/Biobib
  • Documentation of SAVC-AA pre-approval
  • Candidates most received academic review file

9. Final Approval Authority (Chancellor)

The Chancellor renders a final decision on the proposed endowed chair reappointment.

10. Academic Personnel Services (APS)

Upon Chancellor endorsement, distributes reappointment letter to Dean. 

Notifies the following parties of the finalized endowed chair reappointment and provides a copy of the Chancellor’s appointment letter:

  • Academic Affairs Deputy Chief of Staff
  • Associate VC for University Development

11. Dean or Equivalent

Within two weeks of the Chancellor's letter and in conjunction with the UC San Diego Foundation, sends a second letter to the candidate setting forth the details of the endowed chair with copies to:

  • Endowment details, including income.
  • Allowable expenditures.
  • Reporting requirements.
  • Chair Term
