How to Transfer Inventorial Equipment

Follow the steps on this page to transfer that equipment to another department or campus. If UCSD has title to inventorial equipment, you may transfer that equipment to another department or campus.

Inventorial Equipment has a total acquisition cost of $5,000 or more, and must be tracked in CAMS (Campus Asset Management System). Inventorial equipment funded by a government entity requires contract considerations for inventory control. For a complete listing of definitions for all items the University is required to track, please see the BFB-BUS-29: Management and Control of University Equipment and the property terms of each applicable award. Read the procedures for transferring equipment in the Business and Financial Bulletin 38 regarding transfers.

In the right place? If you are receiving inventorial equipment that is being transferred by another department or campus, see How to Handle Equipment Acquired as a Transfer.

1. Determine who has title to the inventorial equipment.

  • Check the ID tags on the equipment if possible.
    1. If the equipment is owned by the Government, the equipment may not be transferred until we request a title transfer. Contact Equipment Management via Service & Support for instructions on how to proceed.
    2. If the equipement is owned by the University go to step 2.
  • Check CAMS.
    1. If the asset record in CAMS states Federal in the Title Indicator section, the equipment belongs to the federal government and may not be transferred. Contact Equipment Management, via Service & Support for instructions on how to proceed.
    2. If the asset record in CAMS states Univesity in the Title Indicator field, the equipment belongs to the University. Go to step 2.

3. Select the Disposal method

  • Use the drop down field to select the Disposal method.

4. Submit for Approval

  • Submit for approval.
  • Contact the accepting department or campus to determine how to ship the equipment.
