The Travel & Entertainment - Temporary Virtual Card (T&E-TVC) is a short-term, interim payment option for UC San Diego employees or for guest travelers who do not have access to the Travel & Entertainment Card. The Product features a firm dollar limit as well as a temporary active dates for usage. Users can easily view the credit limit, card expiration, active dates for use, as well as the full card number and security code needed to complete online transactions on their smartphone using US Bank’s Instant Card Application.
Purpose
- A simple and secure payment option for non-employee travelers conducting business on behalf of the University
- Urgent, same-day payment option in the event a traveler's standard T&E card is lost, stolen, or if a new card application cannot be processed in time to meet a payment deadline
- Timely aid with payments on behalf of travelers in remote locations
Benefits
- Reduce out-of-pocket expenses for non-employees traveling on behalf of the University and those moving/relocating to UC San Diego
- The T&E-TVC is easy to receive, view, and add to a virtual wallet
- Integrated with Concur: T&E-TVC transactions automatically post to Concur for streamlined account reconciliation and expense reporting
- The T&E-TVC has multiple layers of encryption, and it can be added to a mobile wallet and Apple Pay on iPhones or Google Pay on Android devices
Requirements
- The cardholder MUST have a mobile device with the ability to download the US Bank Instant Card mobile app to receive and use the Temporary Virtual Payment Card
- Cardholder must be able to access to email on their mobile device to receive the virtual card notification and to complete registration
- Fully completed and signed Travel & Entertainment-Temporary Virtual Card cardholder agreement form must be attached to the request
- For non-employee guest travelers, a UCSD employee must also sign and submit the, “Non-Employee Cardholder Agreement Form”, and provide their UCPath ID as the card transactions will flow to the employee requestor’s Concur Profile for reconciliation
- T&E-TVC transactions flow into Concur and must be reconciled within 45 days of the end of the trip
- The T&E-TVC should only be used to make purchases that are aligned with UC Policy requirements
- There must be a valid business purpose to request the card
Application Process
Submit a Services & Support case using the field parameters below:
- Category: Travel & Entertainment Card
- Case Description: T&E-TVC request. Provide a valid business purpose, limit and date range, the approved Request ID (i.e. if you are also requesting a T&E Card but need immediate purchasing ability)
- Add Attachment: Remember to attach the completed/signed Travel & Entertainment-Temporary Virtual Card cardholder agreement (required).
Important Considerations
- The T&E-TVC is not meant to replace the standard T&E Card, and employees should apply for a standard T&E Card as it is more versatile and accepted at all merchants that accept Visa cards as opposed to the more limited acceptance for the T&E – Temporary Virtual Card
- This card can be used for online purchases but for in person transactions it is exclusively accepted by merchants that accept Apple Pay and/or Virtual Wallet Payments
- The prospective cardholder must have a smartphone and the bank requires a phone number in a 10-digit format (XXX) XXX-XXXX (international numbers are acceptable but must still follow the 10-digit format after the country code)
- If using the card to pay for a hotel stay, it is strongly recommended to contact the hotel in advance of the trip to ensure that they will be able to accept Virtual Wallet payments (such as ApplePay or GoogleWallet)
- It is very important to note that The T&E-TVC Cardholder will not have an issue providing the card number to reserve the room, but when arriving at the hotel and trying to check-in with the T&E-TVC, a cardholder may be asked for an alternate form of payment if the hotel is not able to accept virtual payments
- Employees may apply for a T&E-TVC if under the following conditions:
- Standard T&E Card was lost or stolen while on travel status
- Standard T&E Card was lost, or stolen and you have contacted the bank to report it missing, but will not receive it in time for an upcoming trip
- Employee travels less frequently than one time per 2 years
