Learn how to customize and purchase Lyft Event credits with your Procurement Card.
With Lyft Events, departments can ensure guests have a reliable ride to and from local University events. Create an event by adding your event details, setting your budget and purchasing a unique code for your guests.
Program Highlights
- On average, Lyft rides are 32% less expensive for departments than taxicab and town car services.
- Departments can quickly and easily reconcile the charge and refund in Concur.
- Increase meeting attendance by helping guests focus on content instead of coordinating transportation and parking.
- Guests can only use your event code to get to and/or from your event location(s). The coupon code is valid for pick-up or drop-off within 0.5 miles of the event venue. Departments can set up to 5 event venues on a single code.
- Your event code will only be usable during the dates and times you set. You can create an event code that is valid for as short as a few hours or up to 7 days.
- Your unique event code is limited to one redemption per person.
- Set the number of attendees and the dollar amount you want to designate per person. Once your code expires, you will be refunded for the unused amount 48 hours after the event ends.
- At the time of purchase, department administrators are approved to check the box "I agree to the Lyft events contract."
How Lyft Events Work
- Visit the Lyft Events website
- Set Up Your Lyft Event
- Create an event by adding your event details, setting your budget, and purchasing a unique code for your guests.
- Select your number of guests and the value of ride credits per guest.
Ex. Departments can choose to subsidize as little as $5 per ride/ per guest. - Before finalizing the purchase, departments need to follow the instructions in Payment & Reconciliation to temporarily lift the commodity restriction on their Procurement Card.
- Share the Code with Your Guests
- Provide the event code to your guests in advance with easy “How To” instructions customized for your event.
- Guests will need to download the Lyft App on their smartphones to take advantage of the Lyft credits.
Payment & Reconciliation
If department events are infrequent, use the 1X method for purchasing Lyft Event codes:
- Identify a Procurement Card cardholder within your unit
- Send a UC San Diego Services and Support ticket with the title "Lyft Events" to the Procurement Card team
- Provide cardholder name and card suffix
- Amount of purchase
- Date when the purchase will be made
- Business reason (ex. Need to provide seminar guests rides to and from dinner reception)
- The case will be reviewed and approved within 24 hours by the Procurement Card team
- Once the purchase is made, upload the receipt and detailed business description into Concur.
If department business needs warrant recurring purchases of Lyft Event codes:
- Identify a Procurement Card cardholder within your unit
- Send a UC San Diego Services and Support ticket with the title "Lyft Events" to the Procurement Card team
- Provide cardholder name and card suffix
- Approximate monthly charges for these purchases
- Business reason (ex. Business operations require recurring rides for faculty recruitment)
- The case will be reviewed and approved by Procurement and Disbursements
- Once the purchase is made, upload the receipt and detailed business description into EC Manager.
Note: Lyft Event codes should not be purchased for employee business travel.
Safety Tips
Pair up by traveling with colleagues or in a group.
- Verify your driver and vehicle. Once you have requested a Lyft ride, you can view the driver’s rating. When your ride arrives, make sure the driver’s photo, license plate number and vehicle description match. Never take a ride you did not request or get into a car that doesn't match the details the Lyft app provides.
- Share your estimated arrival time by using the Lyft “share your ETA” function that allows you to invite friends to see your trip in real-time. The app will draft a text message that you can share with friends that includes your ETA and a link to a live map that allows them to track your trip. You can also call a friend or family member and stay on the phone while you’re in the vehicle.
