Return to Campus (Non-Research Activities)

Find out what is required for departments and employees — except those engaged in research activities or in the UC San Diego Health (Medical Center) — seeking to return to campus during the COVID-19 pandemic.

As employees in a widening variety of units return to campus, everyone has a shared responsibility to each other and the community to return in a safe manner with established guidelines. These required guidelines pertain to all campus employees — except those engaged in research activities or in UC San Diego Health (Medical Center) — seeking to return during the COVID-19 pandemic. 

Department/Group

  1. Consult with your unit supervisor or VC to determine whether returning to work on campus is appropriate. The University is committed to reducing the spread of COVID-19, in part by reducing the density of individuals on the campus. Staff will be asked to return to on-campus work by their supervisor only when it is necessary that their work be done on campus. Staff that can continue to work from home should do so.

  2. Once you have been approved to consider returning to on-campus work, complete the online UC San Diego Social Distancing and Sanitation Protocol form available. Please note that the Social Distancing and Sanitation Protocol online form has changed as of September 15, 2020. The new system allows for seamless VC approvals and enhanced functionality to ensure a comprehensive review of worksite plans is done in accordance with State and County COVID-19 health guidelines.

  3. Note: Do not use this form to get approval for on-site research activities or approval and access to academic instruction space. This form is intended for VC areas who are generally not engaged in research activities to plan, submit, review and approve the return of staff to on-site work. Access for research activities is facilitated through the Research Ramp Up process. Learn more about Research Ramp-upAccess for UC San Diego Health (Medical Center) activities is facilitated through the Return to the Workplace process. Learn more about the UC San Diego Health (Medical Center) Return to the Workplace GuideRequests for academic instruction space should be routed through your department for review and approval. 

  4. For restaurant and dining facilities, you must also complete the Restaurant/Food Facility Operation Protocol. Please submit this form to the EH&S Return to the Campus support team at ehsrtc@ucsd.edu. 

  5. If your department/group’s Social Distancing and Sanitation Protocols include retail space, significant public interfacing, exceptions to guidelines, or other activities/functions that could increase the risk of COVID community spread, the EH&S Return to Campus support team will review it and provide guidance and a site visit as needed. Please allow five (5) business days for the Return to Campus support team to respond. 

  6. After your VC has approved your UC San Diego Social Distancing and Sanitation Protocol, please distribute the completed UC San Diego Social Distancing and Sanitation Protocols form to the employees that will be returning to work, and post the completed form at a prominent location in the workspace, near the entrance.

  7. For restaurant and dining facilities, you must also complete the Restaurant/Food Facility Operation Protocol. Please submit this form to the EH&S Return to Campus support team at ehsrtc@ucsd.edu. 

  8. Enhanced cleaning services and measures are being implemented by FM for buildings that they service. Check FM Indoor Cleaning Services for details. 

  9. In addition, groups that are approved to return to campus must also implement workplace self- cleaning and sanitation protocols as identified in the UC San Diego Social Distancing and Sanitation Protocols. This includes self-cleaning all frequently touched items at the beginning and end of a work shift. For example, when staff arrive for their shift, they should wipe down their workspace, keyboard, computer mouse, and other common touchpoints such as door handles.   10. Face coverings are required. Staff that are returning are expected to have face coverings, however, the department will be given a one-time allotment of masks that can be distributed to staff that forget one. In addition, masks will be available for purchase in Oracle Procurement on July 9th

  11. Display the required posters and signage in prominent locations in the workplace regarding expected behaviors and maximum occupancies. The maximum room occupancy will vary by space and layout. The layout of the space and furniture placement impacts the maximum occupancy regardless of total square feet. It is recommended that this number be determined by walking the space (or reviewing a layout drawing that includes furniture placement) and visually assessing how many people could be in the open space available while maintaining 6 feet of separation.   12. Ensure employees returning to campus have taken the COVID-19 Return to Work Training available at the UC Learning Center. 

  13. Provide employees with the COVID-19 Symptom Screening link and ask them to complete the screening every day before entering the workplace. 

  14. Instruct employees to sign the Training Roster, indicating that they have read and understand the department/group’s specific Social Distancing and Sanitation Protocol Supervisors will review the training record and sign the roster indicating that the supervisor has verified that the employee understands the requirements. Retain in department files as documentation of worksite specific training and available for potential review by EH&S or Cal/OSHA. 

Note: The Campus Emergency Operations Center (EOC) will provide a one-time allotment of face coverings, hand sanitizer, and self-cleaning sanitation products to all those approved to return to campus through this process. The request for initial sanitation supplies is in the UC San Diego Social Distancing and Sanitation Protocols Form and will be delivered by the Integrated Procure-to-Pay Solutions Logistics team within one business day. If additional supplies are needed, it will be available for purchase in Oracle Procurement or at the Bookstore.

 

Employees

  1. Complete the required COVID-19 Return to Work Training before returning to work. 
  1. Complete the required COVID-19 Symptom Screening daily before entering the workplace. Stay home if you are sick or if you answered “YES” to any of the screening questions and notify your supervisor.
  1. Sign your supervisor's Training Roster, indicating that you have read and understood your department/group’s specific Social Distancing and Sanitation Protocol requirements. Your department will keep this in a department file as documentation of worksite specific training and available for potential review by EH&S or Cal/OSHA. 
  2. Adhere to face covering requirements when on campus or at work and maintain social distancing at all times. 
  3. Self-clean all frequently touched items at the beginning and end of a work shift. For example, when you arrive, wipe down workspace, keyboard, computer mouse, and other common touchpoints such as door handles. This should be done again at the end a shift COVID-19 Disinfection Guidance.
