New Concur Travel Booking Experience

What's New and Different

Please note that this content may change as we configure and enhance the new experience after the go-live date of 2/28/25.

Request ID

In the legacy Concur Travel booking experience, users would indicate whether the trip was for business or personal at the start of the travel booking session. Reminder: Business travel requires a Concur Travel Request ID.  

In the new experience, users will still need to create a Travel Request prior to booking their travel, but the Concur Travel Request ID is now entered towards the end of the booking process after all reservation selections have been made.

Airfare

  • Fare search results in the new experience will mimic popular consumer sites, displaying details such as baggage information, seat selections, C02 emissions, refund policies and more.

  • Best Flights for You and Recommended Flights now display in the search results.  These are the flight options most likely to meet the user's preferences based on frequent flyer programs, preferred vendors, fewest stops, lowest emissions, and more.

  • Previously, search results for airfare would display in a Booking Matrix on the top of the screen, showing the different airlines and their respective prices.  This matrix is still available in the new Travel Booking experience by selecting the Matrix dropdown on the left corner of the search results.

Hotel (Accommodation)

  • The new Concur booking experience displays hotel room images and property details, enabling travelers to make the most informed choice. 
  • Previously unavailable information such as sustainability scores and amenities can now be easily identified in the search results.  Filter options will include sustainability certifications, star ratings, brands and parent brands.  
  • Hotel prices now display the average room cost for the length of stay rather than the highest room rate during the stay.  Travelers can still view daily rate details once the property is selected.

Rental Car

  • For full fee transparency, Rental Car rates will display the total rental amount, including the University of California negotiated daily rate, along with taxes and fees.
    • In the legacy experience, the UC negotiated daily rate, before taxes and fees, was displayed.  
  • Pick up and drop off locations are now shown on a map, including both airport and off-site locations, providing enhanced visibility and pickup/dropoff options.
  • Filter and sort search results by category (car size), type (van, SUV), rental company (Hertz, Enterprise, National), and specifications (electric, automatic), distance, and lowest emissions.

Mixed Experience - Legacy and New

  • Some features are not yet available in the new booking experience. This may result in a Mixed Experience where the individual will be automatically redirected to the legacy Concur booking platform to complete the reservation process.  In these cases, bookings can be made in both the legacy and new experiences for the same trip.  
    • For example, Concur's Book for a Guest feature re-directs employees to the legacy booking platform.  Book for a Guest functionality in the new booking experience is expected in the Fall of 2025.  

Review, Finalize, Cancel

  • Review all trip components on the same screen, including total cost of the trip before finalizing the reservation.
  • Reminder: this is where travelers will be prompted to enter a Request ID for business trips under Additional Information - Purpose of Trip.

  • Trip cancellation displays refund conditions and penalty information

  • The Hold Trip option allows users to put their reservation on hold for a limited time before purchase.  Prices are not held if a trip is placed on Hold status (i.e. the price will most likely change).  Trips will be auto canceled if not finalized within the allotted time frame. 
    • Note that this option is currently being evaluated and may not be available when UC San Diego transitions to the new Travel Booking experience.
