Timeline/Schedule for Rollout
After consultation with project sponsors, the full PIPER rollout will move to Fall quarter 2026 to allow for process alignment for managing Non-Sponsored Projects in Oracle across VC areas.
As we’ve taken a closer look at current Non-Sponsored faculty portfolio project management across campus, we’ve found there are multiple approaches in use – most notably differences between managing budgets/revenue and expenses in the General Ledger (GL) versus the Project Portfolio Management (PPM) subledger (including projects with multiple tasks). Like most software solutions, PIPER cannot be configured to seamlessly support every variation without creating significant complexity, long-term maintenance burden, and slower enhancements over time.
To account for the most common approach and the natural flow of transactions in the financial system, PIPER was initially configured to use the GL as the source for budget/revenue and costs. In practice, this configuration causes a meaningful subset of projects currently to not display budget/revenue as expected, and projects managed in PPM with multiple tasks may appear rolled up rather than at the level users need. Without changes upstream, this would create added work for fund managers to adjust projections and for researchers to interpret results.
Looking Ahead
It has been decided that additional time and resources will be dedicated to support a more consistent approach to Non-Sponsored project management that reduces the workload and cognitive shift for fund managers and researchers – and ultimately makes PIPER an even more effective tool for portfolio projections.
- If you already have access to PIPER, your access will remain unchanged. While we align the business process and update PIPER to reflect those changes, the tool remains fully available and you are still able to use PIPER for its intended value today. Email piperteam@ucsd.edu if you would like access to PIPER or to share your feedback while using the tool. Access requests are welcomed for interested users; this is optional and intended to support those who would like to use PIPER while enhancements are underway.
