PIPER: Portfolio Reports
Learn about the Portfolio Reports section of PIPER, UCSD's research portfolio management tool, including what each report displays and how Fund Managers and Principal Investigators can use them to monitor funding and personnel effort.
Portfolio Reports are designed for regular review by Fund Managers and Principal Investigators. They provide a financial overview of the PI's full portfolio and surface areas requiring attention.
PIPER is accessed at anaplan.ucsd.edu using your UCSD Single Sign-On. If you are a Fund Manager and currently do not have access to PIPER, reach out to piperteam@ucsd.edu to request access.
The Portfolio Reports section of PIPER is comprised of four pages:
- 1.01 Portfolio Summary — The primary financial dashboard for a PI's portfolio, displaying current and forecasted balances at the Award, Project, and Task level alongside flagged exceptions and pending proposals.
- 1.02 PI Runway Analysis — A rolling 24-month Direct Cost forecast showing projected monthly balances, with built-in scenario modeling and automatic highlighting of the first month a negative balance is projected.
- 1.03 Personnel Effort by Position — A roster of all personnel reporting to the PI through UCPath, showing each employee's full funding distribution and flagging unassigned effort, ending positions, and payroll posting risks.
- 1.04 Personnel Effort by Task — A view of all personnel paid on tasks the PI manages as Task Manager, showing effort and cost by task regardless of UCPath reporting structure.
1.01 Portfolio Summary
The primary financial dashboard for a PI's portfolio. It displays a balance walk at the Award, Project, and Task level, pulling budget and cost data from Oracle PPM and proposal history from Kuali Research.
- Shows current and forecasted balances across Budget/Resources, Costs, Committed Costs, and Forecasted Costs — in both total and direct cost views. The view can be filtered by Financial Period (Current, Inception to Date, or All Periods) and Forecast Period.
- Provides detailed financial attributes for each Award, Project, and Task, including chartstring information, IDC rate, start/end dates, and carryforward allowability.
- Flags areas requiring attention, including pending proposals from the past two years, projects with no financial activity, and awards or projects nearing their end dates.
For Researchers: Use Portfolio Summary to review your overall funding health at a glance. Your Fund Manager will typically walk through this page with you during monthly check-ins, but you can log in at any time to see your current balances, upcoming award end dates, and any exceptions flagged for your attention.
1.02 PI Runway Analysis

A rolling 24-month Direct Cost forecast for the PI's portfolio, presented in a bank statement-style format showing starting balances and projected monthly ending balances.
- Breaks down forecasted expenses by category — including committed costs, personnel, and non-personnel costs — and automatically highlights the first month in which the portfolio is projected to go negative.
- Includes a combination chart visualizing revenue, expenses, and ending balance over the 24-month window, viewable at the Portfolio, Category, or Task level.
- Includes a built-in modeling tool for ad hoc scenario planning.
For Researchers: Use PI Runway Analysis to understand how long your funding will last under current spending assumptions. If you are planning a hire or a large purchase, the modeling tool lets you see the projected impact on your runway before any commitments are made.
1.03 Personnel Effort by Position
A roster of all employees who report directly or indirectly to the PI based on the UCPath reporting structure, showing their full funding distribution across all tasks — including tasks managed by other PIs.
- Displays each employee's effort allocation and monthly cost breakdown, including salary, benefits, and other pay components, organized by position.
- Flags unassigned effort, positions approaching an end date, and personnel at risk of posting to the Default Project.
- Fund Managers can add employees not in the PI's UCPath reporting chain or exclude lab personnel from the view as needed.
For Researchers: Use Personnel Effort by Position to verify that everyone in your lab is funded correctly and through the appropriate end dates. Pay particular attention to anyone flagged as unassigned or approaching a position end date, as these may require a fund change or UCPath update.
1.04 Personnel Effort by Task
A view of all employees paid on tasks where the PI is the PIPER Task Manager, regardless of the employee's UCPath reporting structure. Shows only the portion of each employee's funding paid by the PI's funds, organized by task rather than by reporting chain.
- Displays effort allocation and task-level attributes — including Award, Project, Task dates, and Project Category — for each funded position.
- Complements 1.03 by surfacing personnel funded on the PI's grants who may not appear in their UCPath reporting structure.
