How to Complete Your Glacier Record

Learn how to complete your Glacier record.

The Glacier Online Nonresident Alien Tax Compliance System ("Glacier") allows UC San Diego to collect tax-related information from foreign visitors in order to properly tax and report payments and/or benefits.

Note: Completing a Glacier record is not the same as filing a tax return. .

1. Determine whether you need to complete a Glacier record

If you are a foreign individual and you are receiving any payments or benefits from UC San Diego you must complete a Glacier record.  Examples of payments and benefits include: wages, fellowships, benefits, benefit reimbursements, stipends, honorariums, performance fees, royalties.

You must complete a Glacier record for UC San Diego even if you have completed a Glacier record through another insitution.

The following individuals are exceptions and do not need a Glacier record:

  • U.S. Citizens
  • Permanent residents with permanent resident cards
  • Those with Employment Authorization Card showing category 33. This indicates DACA (Deferred Action Childhood Arrival) status.
  • Refugees
  • Asylees
  • Those who will receive no payment or benefits from UC San Diego (such as a postdoc paid direct who is not getting benefits, reimbursement for benefit premiums, or salary/wage payments from UC San Diego)

2. Check your email

You will receive two emails:

  • "Glacier and Taxes at UCSD" from a UCSD.edu email address: an introduction to Glacier, and instructions for completing certain Glacier screens
  • "Payments from the University of California, San Diego" from Glacier (support@online-tax.net) containing a link to the Glacier log-in site and a temporary UserID and password

Note: If you are receiving payment or benefits from UC San Diego and have not yet received the emails listed above, check your spam or junk mail folder. If you don't find them there, email the UCSD Glacier & Taxation Team.

3. Log in and complete the forms

Log in to the site and follow the instructions in the emails mentioned in the previous step.

4. Print and sign forms

  • Glacier will generate all of the forms you need to submit. When you reach the "view and print forms" page in your Glacier record, print all of the forms.
  • Sign the forms where indicated.

5. Create a PDF of the signed forms and "required document copies"

Use a copier or scanner to create a PDF of the signed Glacier forms and the "required document copies" listed in the bottom right section of the Tax Summary Report Glacier generates. 

6. Submit your signed Glacier forms and document copies

There are several ways to submit your Glacier materials. You are not required to send them through the mail, as Glacier directs. 

  • Email the PDF from the previous step from your ucsd.edu email address to the UCSD Glacier & Taxation Team. Emails are secure when sent from one ucsd.edu email account to another.
  • Through the free campus mail system to: "Payroll, Mail Code 0952, no postage required. If you do not know how to use the campus mail system, ask an administrative employee in your department for help. 
  • U.S. Postal Service (USPS), postage required. Mail to the UCSD address shown on page 2 of your Glacier Tax Summary Report
  • In person: Deliver to the receptionist at the UC San Diego Payroll Division in Torrey Pines Center South (TPCS) at 10280 N. Torrey Pines Dr., #305, La Jolla, CA 92037, open 8-4:30 M-F. See the FAQ for directions and map.
