Delegates Dashboard in Concur
Our teams are actively testing this feature and will provide further updates to our KBA and Blink pages.
What is the Delegates Dashboard?
The Delegates Dashboard in SAP Concur is a centralized workspace designed specifically for executive assistants, travel arrangers, and delegates who manage requests, travel bookings, and expense reports on behalf of other employees (delegators).
What We Want to Call Out
- Initial List Display (Top 50 Limit): The dashboard currently displays the first 50 delegators alphabetically by first name from the list of individuals you have ever been a delegate for.
- Favoriting Delegators: To prevent frequent travelers from being buried in your list, click the **Favorite** star icon next to their name to pin them to the top of the list.
- Managing Inactive Employees: Inactive or former employees for whom you were previously a delegate will still appear in your list. Once all pending expenses and travel reports are cleared, delegates can manually delete them from their profile delegate settings.
Availability & Access
Q: When will the Delegates Dashboard be available?
A: The dashboard is available starting Sep 18, 2026.
Q: Who can access the Delegates Dashboard?
A: The dashboard is automatically available to any UC San Diego employee with an active Concur profile. No additional administrative setup or special permission is required.
Q: Do I need special AI licenses or software to use the dashboard?
A: No. The Delegates Dashboard and its core feature set are included with our core SAP Concur deployment at no extra charge.
Q: Is the dashboard available on mobile devices?
A: No. Mobile availability is currently under consideration for a future release.
Q: Can the Delegates Dashboard be set as my default Concur landing page?
A: Not with the initial release. This capability is planned for a future update.
How this Works & the View
Q: Does this replace the traditional "Act on behalf of" function?
A: No. The Delegates Dashboard coexists with the existing "Act on behalf of" workflow, allowing you to use whichever method best fits your task.
Q: If an assistant is both a delegate for others and a traveler themselves, is there one combined view?
A: No. The dashboard is for delegated work only. When acting on behalf of others, assistants use the Delegates Dashboard. For their own travel and expenses, they return to their standard Concur homepage as usual using the same SSO login.
Q: Can users create or configure dashboard components, or is the experience standardized?
A: The experience is primarily standardized with limited customization. The primary customization available is the Favorites capability, allowing delegates to prioritize selected delegators.
Managing Delegators & Lists
Q: Why do I only see 50 travelers in my dashboard list?
A: The dashboard initially loads your top 50 delegators sorted alphabetically by first name.
Q: How can I keep my most frequent travelers at the top of my list?
A: You can use the "Favorite" feature. Favoriting a traveler ensures they always appear at the top of your delegator list regardless of alphabetical order.
Q: How does search handle duplicate delegator names?
A: There is no differentiation of delegator names in the dropdown list itself. However, once a delegator is selected, the green banner displays their ID and email address to help differentiate them.
Q: Why are inactive or former employees appearing in my list, and how do I remove them?
A: The dashboard surfaces any individual you have historically been assigned to support. Inactive employees remain visible until manually removed. Once all active trips and expense reports for an inactive employee are closed out, you can remove them via your SAP Concur Profile Delegate Settings.
Q: How can a delegate remove delegators they no longer support?
A: Follow the detailed instructions in our How to Stop Being a Delegate in Concur (Support Portal).
Q: Can someone add themselves as another person’s delegate directly from the dashboard?
A: No. The delegator/user must still grant that permission by following the steps outlined in our How to Add a Request Delegate and an Expense Delegate in Concur KBA (Support Portal). If an employee needs to get set up as a delegate for 10+ employees, you also have the option to do a Mass Delegate Import Request (Support Portal) via Services & Support.
