How to Handle Inventorial Equipment Acquired as a Transfer

If you are receiving inventorial equipment that is being transferred from another UC campus or outside agency, follow the steps below to record the equipment.
UCSD has two types of equipment:
- Inventorial equipment has an acquisition cost of $5,000 or more and must be tracked as property through EAMS (Equipment Asset Management System) and through UCSD’s financial system.
- Non-inventorial equipment has an acquisition cost of $1,500-$4,999 and must be tracked only through the financial system, not through EAMS.

- Dowhload the EIMR.
- Check the TRANSFER box in the Transaction Type section of the
- Complete the FROM and TO sections, and the Equipment Identification Section.
- Have the EIMR signed by the transferring and accepting parties.
- Send the original and a copy of the EIMR to Equipment Management, Mail Code 0953, or via U.S. Mail to: UCSD Equipment Management, 9500 Gilman Drive - 0953, La Jolla, CA 92093-0953.
Note: Be sure both the transferring and accepting parties have signed the EIMR.
- If the transfer is from an outside agency:
- Equipment Management will create UCID tags and forward them to you, along with the Asset Locator Report form.
- Affix the tags by placing them on the front surface of the equipment.
- Complete and return the Asset Locator Report form to Equipment Management, Mail Code 0953.
Note: If the equipment is transferred from another department or UC campus, it will already have tags affixed to it.
- Check EAMS to see that the equipment's record has been added to your inventory.
