How to Get Access to UCSD Business Systems

Find out how to register for a business systems account and get authorization and training to access business systems data.

1.Begin your registration.

  • Open the registration page, or click "New User?" from the single sign-on page.
  • Enter your official UCSD email address (abcd@ucsd.edu, not abcd@dept.ucsd.edu).
  • Click Register.

2. Validate your identity.

  • You will be asked to supply:
    • Your UCSD employee ID (found on your paystub or UCSD ID card). Do not enter leading zeroes.
    • The last 4 digits of your Social Security number
    • Your birth date
  • This will generate an email containing a secure link (registration ticket). For security reasons, this ticket is tied to your current browser session. Therefore, do not exit or close your browser, or you will have to restart the process.

3. Confirm your registration.

  • Check for a new email titled “UCSD Single Sign-On Registration Confirmation.”
  • Click the link in the email (or cut and paste the address into your active browser session).

For security reasons, this step must be completed within 30 minutes, or you will have to restart the process.

If you don't receive your confirmation via email, check with your department security administrator (DSA) or system administrator to be sure your email account is configured to receive official UCSD communications.

4. Select your password.

  • Choose and confirm a password (following the security guidelines) and press Continue.
  • You will have access to selected UCSD systems such as "MyLeaveBalances" and "My Dashboard."
  • If you need access to other Link Family business applications (e.g., FinancialLink), see step. 5.

5. Get approval.

  • Get your supervisor's approval to access UCSD Business Systems.
  • Confer with your supervisor to determine:
    • Which UCSD Business Systems tools and/or data you need to access (financial, student, payroll, etc. )
    • The types of transactions that you need to process, for example:
      • PPS: inquiry or update or PAN only
      • IFIS transactional areas and approval routing

6. Complete any needed training.

  • Enroll in and complete the training sessions recommended by your supervisor.
  • Notify your supervisor when you complete training.
    • Your supervisor should forward the necessary approval(s), justifications and information to your Departmental Security Administrator (DSA) including:
      • Any pertinent training with dates you've completed the training
      • The types of transactions you will need to process
