BFS Weekly Digest Curator/Content Creator Best Practices

This section outlines the curator’s responsibilities and steps to manage, edit, and archive the Budget & Finance Weekly Digest, along with best practices and tips for content creators.

 

Prerequisite Access 

Curators will need access to:

  1. myEmma (Email Marketing Software) for the Financial Business Systems account. This is where you will edit and send out the weekly digest campaigns.   
    1. As of April 2024, Ana Portlock and Rebe James have access.
    2. Access requests must be sent to servicedesk@ucsd.edu for approval.
  2. CMS access: This is where you will manage and curate the past editions of weekly digests.

Content Creator Best Practices:

Curate the digest by transferring content into the Budget & Finance Weekly Digest Google Drive. While editing:

  • Tip 1: Style & Writing Content
    • Copy text boxes, dividers, and headers from the previous edition. Try to avoid adding new dividers and text boxes. They may not follow the same formatting. 
    • If anything goes wrong, you can always duplicate the previous edition again. 
    • Avoid excessive bolding, italics, and underlining.
      • Write concise and informative summaries for each news item or financial update.
      • Use clear and professional language appropriate for the audience.
      • Include relevant details such as dates, figures, and key points.
      • Provide context or background information when necessary to aid understanding.
      • Double-check facts and figures for accuracy before proceeding.
  • Tip 2: Formatting and Design
    • Maintain a consistent formatting style throughout the document, including font type, size, and spacing.
    • Use bullet points or numbered lists for clarity, especially in listing events or key points.
    • Incorporate visual elements sparingly such as relevant images or charts to enhance understanding.
    • Ensure accessibility by using headings, lists, and alt text for images where applicable.
  • Tip 3: Editing and Review
    • Review the document for clarity, coherence, and accuracy.
    • Check for grammatical errors, typos, and inconsistencies in tone or style.
    • Consider seeking input from other team members for additional perspectives and to catch any overlooked mistakes.
    • Make necessary revisions based on feedback and review.
