Gift Services
What We Do
The Office of Gift Services, a division within the Advancement Services unit, is the designated authority, by both the University of California Office of the President (UCOP) and the Chancellor, to accept, record, and receipt all charitable contributions made to UC San Diego and the UC San Diego Foundation. Serving campus departments, the development community, and UCOP, Gift Services ensures that all gift-related activity is compliant with IRS regulations and University of California policies. No other campus department is authorized to officially accept private gifts on behalf of UC San Diego. In addition to managing the formal acceptance and administration of gifts, the office maintains the integrity of donor data for accurate departmental, donor, and institutional reporting.
Key responsibilities of Gift Services include:
- Receiving, accepting, and depositing charitable contributions in compliance with IRS regulations and UC policy
- Analyzing, coding, and entering gifts into the university’s donor database
- Updating donor records based on gift documentation
- Recording pledges and pledge payments
- Processing corporate matching gifts and credit card donations
- Issuing donor receipts and pledge reminders
- Establishing new gift funds
- Coordinating with Gift & Foundation Accounting to record data into the campus and foundation accounting systems
- Managing gift corrections and adjustments
- Reporting annual and campaign-related private support to the university
Through these functions, Gift Services plays a critical role in supporting philanthropic efforts and ensuring the accuracy and transparency of charitable giving at UC San Diego.
