The Chancellor’s Office is seeking an intern. This internship will be a unique opportunity for a staff member to get direct experience in event planning for Chancellor’s Office Diversity events such as: Black History Month, Cesar E. Chavez Celebration, CA Native American Day Celebration, Asian Pacific Islander Month, and Diversity Speaker Series. This position will work closely with university leaders as they plan these events and will assist with all aspects of the planning including administrative and financial support, outreach, event logistics, and financial processes.
Responsibilities include:
- Comprehensive development, planning, coordinating, and implementing a variety of diversity programs to include budget oversight and staffing of leaders and members of Black History Month (BHM), Cesar Chavez Celebration (CCC), CA Native American Day Committee (CND), Asian Pacific Islander Month and Diversity Speaker Series
- Coordinating logistics for event planning to include working with UCSD departments (catering, Price Center staff, etc.)
- Coordinating all fiscal-related activity requests with appropriate backup paperwork for submission and processing
- Coordinating all necessary information for payees including performances agreements (where necessary) to facilitate payment requests
- Customer service/ guest relations for events (set up, confirmations, outreach)
Skills and knowledge required:
- Background in fast-paced environment with diverse constituents
- Demonstrated skill in developing, planning and implementing successful events, preferably on a college campus
- Database management (Access experience preferred)
- Note-taking and task management
- High tolerance for ambiguity
- Knowledge of financial management and processes at UCSD particularly IFIS and TravelLink
- Ability to maintain a high degree of confidentiality
- Professional deportment and dress
Skills and knowledge that the intern can expect to gain:
- Direct experience in large scale event planning
- Networking skills to work with all levels of the campus community
- Public speaking and guest management experience
- Working in a fast-paced community environment
- High level administrative skills and experience in taking initiative and managing aspects of several events
- Strong demonstrated working knowledge of UC related computer applications and technologies including web based tools for a variety of uses which may include accounting and financial reporting.
- Excellent interpersonal skills with a variety of diverse personnel at all levels of the organization
