Paying Local Hotel for Inbound Traveler

Find out how to book and prepay local hotels when you have an inbound traveler.

In an effort to streamline processes and eliminate the need for departments to request checks for hotel prepayment, IPPS Travel and Connexxus now offer the ability to book local hotels and bill to UC San Diego.

Preauthorize and obtain a trip number

Make hotel reservation

  • From the Connexxus home page under Book Travel Online, select Balboa Travel (Concur).
  • From the Guest Traveler view, click on the hotel search icon, enter dates, and add UCSD address in the Reference Point field.
  • Select the desired hotel from the list, direct bill hotels are listed as 'Most Preferred Hotel for UC Systems'.
  • Review and reserve hotel by entering hotel guest information. For method of payment, choose credit card and dropdown to highlighted option.

  • Reservation confirmation will appears. Click next in order to confirm and complete reservation.

  • Finalize trip details by entering required information including trip number to be charged.

Note: Hotel booking will show in MyTravel as a prepayment within the trip indicated about 5-10 business days after the traveler checks out.

Things to Know

Effective October 1, 2015, participating local hotels will no longer accept reservations by phone if prepayment is required.

Hotel payment includes room and tax only. The traveler is responsible for providing a credit card upon check-in for all incidental charges, which may be submitted for reimbursement after the trip concludes.
