Registering and Managing Your Organization's Calendar

UCSD faculty or staff members can register UCSD calendars in the Calendar Gateway.

Before you begin, ensure you meet the requirements for registration:
- You must have a UCSD faculty or staff Single Sign-On account.
- Only public UCSD department or organization calendars can be registered.
- Your calendar must represent ongoing events, not a one-time event.
- Click the Register your calendar link on the bottom right of the Calendar Gateway home page.
- Complete the following fields:
Calendar Name: Enter the official name of your calendar. (Example: UCSD Bookstore)
Calendar Feed Type:
- For Google calendars:
- Go to your department’s Google calendar and click Settings under the calendar name on the left.
- Click the name of the calendar you want to register.
- Go to Calendar Address and copy the e-mail address after Calendar ID. (Blink calendar example: ucsd.edu_v4t6k6g98rclph6jd8f5pcta68@group.calendar.google.com)
- Paste the calendar e-mail address into the Calendar Feed Type field on the Calendar Gateway registration screen.
- For iCal-format calendars such as Outlook or Entourage:
- Post your department iCal-format calendar on your department server.
- Create a Google calendar at http://calendar.google.com. You’ll need a Google log-in and password to complete this step. Follow Google’s directions to import your calendar’s events from Outlook, Apple iCal, or Yahoo.
- Go to Calendar Address and copy the e-mail address after Calendar ID. (Blink calendar example: ucsd.edu_v4t6k6g98rclph6jd8f5pcta68@group.calendar.google.com)
- Paste the calendar e-mail address into the Calendar Feed Type field on the Calendar Gateway registration screen.
Description/ Purpose: Briefly describe the contents of the calendar and its purpose, intended audience, etc.
Organization: The name of your department or sponsoring organization
Owner name: Your name and contact info
Supervisor: The name and contact info of your supervisor in case you leave your department or UCSD
Alternate contact: Another person to contact in your absence. Click the plus box to add more contacts. These individuals will be able to update your calendar.
- Check the terms and conditions box.
- Click Submit.
- You will receive an e-mail from the Calendar Gateway Team about your calendar status:
- Approved and added to the gateway
- Denied, with the reason
- Request for more information
- Updates: When you update your department’s Google or iCal-format calendar, your calendar in the gateway will automatically update.
- To make changes in your registration information, click the Manage your calendar link on the Calendar Gateway home page. The Calendar Gateway Team will receive notification if you change any of these fields: Calendar Name, Feed Type, Category.
- You will receive an annual e-mail reminder about keeping your calendar up to date.
