Setting Up Outlook 2010 Using IMAP

Follow these steps to set up Outlook 2010 to access your UCSD email account using Internet Message Access Protocol (IMAP).

Before you start, you need your:

  • Active Directory (AD) username and password (if you forgot your password, reset it)
  • Department's incoming mail server if you're not on the central campus mail server (mail.ucsd.edu)

Microsoft Exchange

If your e-mail account has been migrated, change the following in your e-mail client:

  • Username (full and official UCSD e-mail address): username@ucsd.edu
  • Incoming server: outlook.office365.com

1. Open Mail Setup.

  • Close Outlook 2010 if it's open. Double-click the Mail icon in the Control Panel to open the Mail Setup window.
  • Click Email Accounts.

2. Setup an account.

  • Click the New... button.

3. Auto Account Setup.

  • Select the Manually configure server settings or additional server types box and click Next.

4. Choose an email Service.

  • Select Internet Email and then click Next in the Add New Email Account window.

5. Enter your Internet email settings.

  • Enter the following in each field:
    • Your Name: your full name, including spaces and capitalization
    • Email address: your entire @ucsd.edu email address
    • Account Type: IMAP
    • Incoming mail server: mail.ucsd.edu
    • Outgoing mail server:
      • If you connect via the on-campus UCSD network, enter smtp.ucsd.edu
      • If you connect via a non-UCSD Internet Service Provider (ISP) and you don't have a mail.ucsd.edu account, use your ISP's outgoing mail server.
    • User Name: your AD username (the part of your UCSD email address before the @ symbol)
    • Password: optional
      • If you enter your AD password and check the Remember password box. Outlook will not request it each time you log on.
      • If others use your computer, it's safer to enter your password each time you check mail. You need your password if you make changes or reinstall Outlook.
  • Select More Settings ...

6. Internet email settings - Advanced.

  • Click the Advanced tab.
  • Select SSL from the drop-down menu for Use the following type of encrypted connection under Incoming Server (IMAP). The port number will change from 143 to 993.
  • Select SSL from the drop-down menu for Use the following type of encrypted connection under Outgoing Server (SMTP).
  • Enter 465 in the outgoing server (SMTP) field.

7. Internet email settings - Outgoing Server.

  • Click the Outgoing Server tab in the Internet Email Settings window.
  • Check My outgoing server (SMTP) requires authentication.
  • Select Log on using and enter your Active Directory User Name and Password.
  • Select OK and Next

8. Test Account Settings.

  • Once Log onto incoming mail server (IMAP) and Send test email message tests are completed, click Close.
  • Click Finish

9. Subscribing to Folders.

  • Right click on Inbox folder and select IMAP Folders...
  • Select Query
  • From the list, select the folders you would like to subscribe to, then select Subscribe
  • Select OK

10. View the headers of a message.

  • Double click on the email you'd like to view the headers for
  • When the email opens in a new window, select File
  • Under Info, select Properties
