How to Send a FedEx Domestic Package

Find out how to send a FedEx domestic package through UCSD Mail Services.

In the right place? If your package weighs over 30 pounds, contains hazardous material, or contains items other than documents bound for a foreign destination, do not follow these instructions. UCSD Shipping must process the package.

1. Determine if FedEx delivery service will meet your mailing needs.

Choose from this list of available domestic services:

  • Priority Overnight, delivery overnight by 10:30 a.m. to most U.S. addresses
  • Standard Overnight, delivery overnight by 3 p.m. to most U.S. addresses
  • 2Day, delivery in two business days by 4:30 p.m. to most U.S. business addresses; by 7 p.m. to residences
  • Express Saver, delivery in three business days by 4:30 p.m. to most U.S. business addresses; by 7 p.m. to residences

2. Decide how you want to pay your FedEx charges.

Ways you can pay your FedEx charges:

  • Recharge your department's index (Mail Services' preferred method)
  • Charge your department's FedEx account number
  • Charge a third party
  • Charge your department's credit card

Note: How you plan to pay your FedEx charges will determine how you prepare your package.

3. Consider your insurance needs.

For an additional charge, you can insure your FedEx package. In Step 6, list a declared value.

Tip: If you let UCSD Shipping send your package and complete a Shipping Memo, UCSD Risk Management covers your item through its transit insurance programs.

4. Get your FedEx supplies.

  • A. From Mail Services: If you plan to recharge your department's index, complete the Customer Supplies form (PDF) to get your free FedEx supplies. If you need assistance to complete the form, see How to Order Mail Services Supplies.
    • Note: Most items will be delivered to you within 24 hours.
  • B. Directly from FedEx: If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, get your supplies directly from FedEx by:
    • Ordering supplies online (you'll need your FedEx login)
    • Finding a local FedEx location
    • Calling (800) 463-3339 (GO-FEDEX)

5. Complete an address label.

  • A. Use your own labels or
  • B. Use a FedEx Airbill
  • Important: FedEx does not ship to P.O. boxes.

A. Use your own labels: If you plan to recharge your department's index, use the following address formats:

B. Use a FedEx Airbill: If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, get a FedEx Airbill (see Step 4b) and complete it with the following information:

FedEx Airbill

  1. Sender information:
    • Date
    • FedEx account number
    • Name and telephone number
    • University of California, San Diego
    • Full UCSD mailing address
  2. Internal billing reference: Leave blank
  3. Recipient information:
    • Name and telephone number
    • Company name
    • Full mailing address
  4. Deliver service: Indicate your choice of service.
  5. Packaging: Indicate your choice of packaging.
  6. Special handling: Check the box for required special handling instructions. Important: If your package contains dangerous goods, UCSD Shipping must process it.
  7. Payment: Indicate how the bill will be paid. Also list the:
    • Total number of packages
    • Total weight
    • Total declared value if you want the item insured
  8. Release signature: Sign here if you want your package delivered even if no one is there to accept it.

    6. Prepare your FedEx package.

    • A. Use your own labels or
    • B. Use a FedEx Airbill

    A. Use your own labels: If you plan to recharge to your department's index, prepare your package this way:

    • List the following information in the top right corner:
      • Delivery service desired
      • Index to be recharged
      • Declared value (if insurance desired)
    • Attach your return address label to the top left corner.
    • Attach your recipient address label in the center.

    B. Use a FedEx Airbill: If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, attach the FedEx Airbill to the FedEx packaging.

    7. Mail your FedEx package.

    • A. Give your package to Mail Services:
      • Put your FedEx package with your outgoing mail, or  
      • Take your package to Mail Services, Campus Services Complex, Building A (map) by 3:30 p.m., weekdays.
    • B. IF you use a FedEx Airbill AND use your department's FedEx account number, charge a third party, or charge a credit card, you can take your package to a drop box location:

    Parking: Behind FedEx building, south corner
    5:30 p.m.

    Important: Do not use the FedEx drop boxes if you plan to recharge your FedEx charges.

    8. Check your FedEx charges if you recharge to your department's index.
