How to Respond to Equipment Error Codes (Imprints)

Learn how to respond to copier, multifunctional machine and card reader error codes.

Konica/Minolta Machine shows a wrench symbol

The wrench symbol is usually accompanied by a code found on the panel where the copy count is displayed. This code can signify a simple paper jam.

  • If the problem isn't a paper jam, try turning the machine off and then back on.
  • If you can't resolve the problem, request technical assistance in one of the following ways:

Xerox machine has an error message

In most, if not all cases, an error code and description will appear on the machine display. This code and description can indicate a simple paper jam, the toner is low, or the machine requires technical service. 

  • If the problem isn't a paper jam, always try turning the machine off and then back on.
    • For a paper jam, follow the instructions on the display which will indicate which areas of the machine has paper to be removed.
  • If you can't resolve the problem, request technical assistance in one of two ways:

Xerox machine copies are dirty (not prints)

If only the copies are dirty, not the prints, it may be caused by dirty glass.

  • Determine if the copies are dirty when the originals are copied from the glass or when placed in the document feeder. If they are only dirty in one of these cases, the glass is dirty and it's not a problem with the machine.
    • If copies are only dirty when the originals are placed on the glass, clean the large glass under the lid. Use a non-abrasive cleaner and non-lint rag. Ensure no particles are left on the glass.
    • If copies are only dirty when the originals are placed in the document feeder, clean the narrow “slit” glass to the left of the large, main glass. Use a non-abrasive cleaner and non-lint rag. Ensure no particles are left on the glass.
  • If you can't resolve the problem, request technical assistance in one of two ways:

The card reader displays "Card not found" after entering an index number

Record the 11-digit number shown and call (858) 534-2534 for assistance.

The card reader displays "Invalid index number" after entering an index number

This is a result of one of the following situations:

  • The index number was entered incorrectly. Try entering again.
  • The index number is not authorized on your card. Contact your financial manager to have the index number authorization added to your card, using the add/ delete form (PDF).
