2014-2015 Holiday Closures

Official campus closure

During the 2014 holiday season, UC San Diego (excluding the hospitals and clinics) will officially close for 12 days from Wednesday, Dec. 24, 2014 to Sunday, Jan. 4, 2015. This closure will result in significant energy savings from reduced operations.

The closure period includes four 4 paid holidays (Dec. 25, 26, 31, 2014 and Jan. 1, 2015) and 4 working days (Dec. 24, 29, 30, and Jan. 2). Staff employees must charge their time for the 4 working days to accrued vacation, accrued compensatory time off (non-exempt only), or leave without pay. Academic employees on fiscal year appointments must charge the time off to accrued vacation or leave without pay.

Non-represented employees who do not have accrued vacation or accrued compensatory time off to cover the 4 working days during the closure may request a one-time advance of up to 4 days of vacation to cover the absence. Non-represented employees who elect to take leave without pay for up to 4 days of the closure period will continue to accrue vacation and sick leave credits. For exclusively represented employees, these closure days will be handled in accordance with the existing contract provisions or collective bargaining where applicable.

UC San Diego departments and units that need to remain open during the closure period must notify their respective vice chancellors to do so.

Disbursements and Travel:

You should be aware of important dates for various transactions leading up to and during the university’s holiday break. Read about holiday deadlines and services.

Mail Services:

Customers who have been transitioned to the centralized mailboxes will continue receiving service during the campus closure on Dec. 24, 29, 30 & Jan. 2 as long as their boxes can be accessed by Mail Services. Pick-up service will be limited during this period; service is by request only and based upon Mail Services staff availability. Alternatively, a staff member may pick up and drop off all mail for your mail code at the Campus Services Complex near Voight/Gilman between the hours of 9am and 1pm on those days; be prepared to show identification and sign for mail at time of pickup.
Mail Services and the Passport Office will close at noon Friday, Dec. 19 and will be open regular hours Monday, Dec. 22 and will close at 1 p.m. Tuesday, Dec. 23, to reopen for regular hours on Monday, Jan. 5. Private mailbox holders will be able to pick up packages at the Campus Services Complex Building A, between the hours of 9am and 1pm, December 29th, 30th, and January 2nd.

The office will be closed Wednesday, Dec. 24 – Friday, Jan. 2. Please refer to the Payroll Timekeeping and PPS Deadline Schedulefor important payroll processing deadlines during the holiday closure.

Procurement & Contracts:

Only emergency procurement will be handled during campus closure dates (Dec. 24, 29, 30, Jan. 2. To request emergency procurement do the following:

  • Report emergency via BFSupport
  • Include URGENT – PROCUREMENT in the subject line
  • State the reason for the procurement emergency
  • Submit

Processing Deadlines (requests received after these deadlines will be processed on or shortly after campus reopens for business on Monday Jan. 5):

  • iRequests: iRequests should be submitted no later than Friday, Dec. 12 to be reviewed by a Commodity Manager or Professional Buyer before the break
  • New Marketplace Supplier Forms: Completed online supplier information forms should be received no later than Wednesday, Dec. 10 to ensure the supplier profile is created in Marketplace before the break
  • Small Business Development Office: Requests for small business plans should be submitted no later than Tuesday, Nov. 25 for processing before the break
  • Note:: Additional required approvals or extenuating circumstances may cause delays

Transportation Services:

  • Gilman and Hillcrest parking offices: Close noon Tuesday, Dec. 23 and reopen Monday, Jan. 5 at 7 a.m.
  • East Campus Parking Office: Close noon Tuesday, Dec. 23 and reopen Monday, Jan. 5 at 8:30 a.m.

UCSD Box Office:

The UCSD Box Office will be closed Saturday, Dec. 20 to Sunday, Jan. 4. Regular hours (Mon–Friday, 10 a.m.–4 p.m.)  will resume Monday, Jan. 5. Any online orders placed after 10 a.m., Thursday, Dec. 18, will not be processed until after Jan. 5.
