How to Send a FedEx International Package  
 
Summary: Find out how to send a FedEx international package through UCSD Mail Services.

In the right place? If your FedEx package weighs over 30 pounds, contains hazardous material, or contains items other than documents bound for a foreign destination, do not follow these instructions. UCSD Shipping must process the package.

Important: When preparing your international package, the most important consideration is the contents. Also, be sure FedEx serves the country you want.
What to do How to do it
1 Determine if FedEx's international delivery service will meet your mailing needs.
  1. Read about FedEx Express International, with delivery to major international business centers in one to three days or four to five days.

2 Decide how you want to pay your FedEx charges.
  1. Here are the ways you can pay your FedEx charges:
    • Recharge your department's index (Mail Services' preferred method)
    • Charge your department's FedEx account number
    • Charge a third party
    • Charge your department's credit card

    Note: How you pay your FedEx charges will determine how you prepare your package.
3 Consider your insurance needs.
  1. If you want to insure your FedEx package, let UCSD Shipping send it. By completing a Shipping Memo, UCSD Risk Management covers your item through its transit insurance programs.
4 Get your FedEx supplies:
  1. From Mail Services

  2. OR
  3. Directly from FedEx
  1. If you plan to recharge your department's index, go to Mail Services Customer Supplies and complete the online order form to get your free FedEx supplies. If you need assistance to complete the form, see How to Order Mail Services Supplies.

    Note: Most items will be delivered to you within 24 hours.

  2. If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, get your international supplies directly from FedEx by:

5 Complete an address label:
  1. Use your own labels

  2. OR
  3. Use a FedEx International Air Waybill
Important: FedEx does not ship to P.O. boxes.
  1. If you plan to recharge your department's index, use the following address formats:

    Recipient address label sample:

  2. If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, get a FedEx International Air Waybill (see Step 4b) and complete it with the following information:

    FedEx International Air Waybill

    1. Sender information:
      • Date
      • FedEx account number
      • Name and telephone number
      • University of California, San Diego
      • Full UCSD mailing address
    2. Recipient information:
      • Name and telephone number
      • Company name
      • Full mailing address
    3. Shipment Information:
      • Commodity Description: Be specific, detailed, and list each commodity separately.
      • Total Value for Customs: Enter the selling price or fair market value (even if not sold or for resale) of your shipment contents. It must agree with the number on your Commercial Invoice.
      • Total Declared Value for Carriage: Must not exceed the Total Value for Customs amount.
    4. Express Package Services: Indicate your choice of service.
    5. Packaging: Indicate your choice of packaging.
    6. Special Handling: Check the box for required special handling instructions.
    7. a. Payment - Transportation charges paid by: Select a method of payment and provide the appropriate FedEx Express account number or credit card number.
      b. Payment - Duties and taxes paid by: Any international shipment can be subject to duties and taxes at destination. If the shipper or third party fails to pay duties and taxes, the receipient is responsible for payment.
    8. Your Internal Billing Reference: Use this optional area for your internal shipping numbers or codes.
    9. Required Signature Sign the air waybill, remove the sender's copy, and place the remaining copies with your package.
6 Prepare your FedEx package:
  1. Using your own labels

  2. OR
  3. Using a FedEx International Air Waybill
  1. If you plan to recharge to your department's index, prepare your package this way:
    • List the following information in the top right corner:
      • Delivery service desired
      • Index to be recharged
      • Declared value (if insurance desired)
    • Attach your return address label to the top left corner.
    • Attach your recipient address label in the center.

  2. If you plan to use your department's FedEx account number, charge a third party, or charge a credit card, place the FedEx International Air Waybill to the FedEx packaging.
7 Mail your FedEx package:
  1. Give it to Mail Services.

  2. OR
  3. Take it to a campus drop box location IF you use a FedEx International Air Waybill AND use your department's FedEx account number, charge a third party, or charge a credit card.
  1. Put your FedEx package with your outgoing mail.
    OR
    Take your package to Mail Services by 3:30 p.m.

  2. IF you use a FedEx International Air Waybill AND use your department's FedEx account number, charge a third party, or charge a credit card, you can take your package to a drop box location:

Important: Do not use the FedEx drop boxes if you plan to recharge your FedEx charges.

8 Check your FedEx charges if you recharge to your department's index.
