Staff Retention and Support: Effective Communications Initia; ARCHIVED Fri Jul 27 11:25:08 PDT 2007
Summary: In January 2002, the Staff Retention and Support Steering Committee (SRSSC) Effective Communications Work Group proposed several initiatives to address staff-focused needs. See the table below for progress on the initiatives and related action items.
This group recognized the need for an internal campus communication plan during this growth period, and for formal mechanisms to gather opinions and feedback from staff. The work group also explored ways to improve the availability and delivery of information at every level on campus.
    Initiative: Restructure campus e-mail addressing conventions (IV.1.)
What is it? When is it? Why is it important?
Administrative Records to establish appropriate addressing conventions and usage criteria for notices. Implemented in 2002 This initiative has improved the effectiveness of campus communications and allowed staff to easily identify communications from specific individuals.
Academic Computing Services to expand e-mail equipment and develop policies to reduce notice delivery to one hour. Implemented in 2003 E-mail delivery has been improved in both speed and reliability. New hardware and software was installed.
Blink to develop workshop on Web-oriented headline writing. Implemented Web-writing classes are now provided to staff by the Blink team.
    Initiative: Provide all employees access to workstations (IV.2.)
What is it? When is it? Why is it important?
Letter from chancellor to vice chancellors regarding hardware planning. This communication was completed. The communication from the chancellor made access to information a high priority.
Develop workstation strategy for full coverage. Each vice chancellor area now has a workstation deployment strategy. Access to workstations has allowed staff to get access to campus communications, Blink, and other tools to help them in their jobs.
    Initiative: Implement self-subscription to electronic information sources (IV.3.)
What is it? When is it? Why is it important?
Develop and implement approach for self-subscription to Blink content. Implemented The "notify me" tool allows staff to receive communications tailored to their specific work needs.
Develop Web-based capability for "on the fly" mailings. Implemented The Blink Buzz e-newsletter and bulletin tool, as well as the This Week @ UCSD e-newsletter provide timely, targeted communications with staff.
    Initiative: Implement an internal campus communication strategy (IV.4.)
What is it? When is it? Why is it important?
Develop a taskforce to recommend a strategy for improved campus communications. The task force has been implemented. A number of new communication methods have been implemented including "Dynes Desk," anonymous e-mail facility, and periodic communications from the chancellor and other administrators.
    Initiative: Promote shared communication environment between faculty and staff (IV.5.)
What is it? When is it? Why is it important?
Establish Ombuds office, and include faculty/ staff facilitation. The office was implemented in 2002. Staff now have another resource for addressing concerns about their work environment.
Explore creation of monthly faculty/ staff newsletter. Implemented This Week at UCSD is an electronic newsletter for UCSD staff, faculty and students.
