TravelLink: Access, Approval Hierarchies, and Training Demos

Summary: Find out about accessing TravelLink, approval hierarchies, and training demos.

TravelLink is a secure campus system that requires a user ID and password.

Training
If you prepare travel for yourself or another traveler, UCSD Travel recommends the following training resources:

Requesting access
Request access to TravelLink through your Department Security Administrator (DSA). To locate your DSA, contact the Administrative Computing (ACT) Help Desk at (858) 534-1853.

Ask your DSA to provide the following items to access TravelLink:

  • A user ID and password to access the Integrated Financial Information System (IFIS)
  • Access to the travel module in IFIS
  • Approval hierarchies for each of the 3 travel document types:
    • Going on a trip: travel preauthorization (TRP)
    • Prepayments for hotel, registration, service fees: travel invoice (TIV)
    • Cash advance: travel advance (ADV)

TravelLink passwords expire every 60 days. Upon expiration, the system prompts you to create a new password. For assistance with your password, contact your DSA.

Approval hierarchy
TravelLink documents route through an approval hierarchy. Your DSA sets up templates for approval, according to established guidelines. You may have several different templates, depending on department requirements. If you have multiple templates, ensure appropriate routing for approval by selecting the appropriate template each time you complete a TravelLink document.

Need an expert on accessing TravelLink? Contact your DSA or the ACT Help Desk, (858) 534-1853.
