Lodging for Short-Term Domestic Travel  
 
Summary: Find out about lodging expenses for travel in the continental U.S. that lasts less than 30 days.

Before you book a room, find out how to get discounted hotel rates through Connexxus. Note that:
  • You can reserve a single room as long as the cost is reasonable for the location and nature of your trip.
  • You won’t be reimbursed for in-room charges such as gym or movie fees.

To reserve a room, use one of these methods:

  • Use Connexxus, UC's travel program
  • Follow payment instructions using TravelLink.
  • Use a personal form of payment.
  • Use your UCSD Travel Card.
  • Note: If you reserve a room more than 21 days in advance and your card will be charged rather than held to secure the room, reconsider using your UCSD Travel Card. This will result in a payment due before your travel. You will need to pay the bill and request reimbursement after your trip.

You can pay for your hotel in one of 2 ways:

  • Charge the bill to your UCSD Travel Card and request payment after your trip.
  • Use a personal form of payment and request reimbursement after your trip.

After your trip, use MyTravel to report these expenses:

  • Hotel tab
    • Enter the lodging amount (single room rate plus tax), including any prepayments by UCSD.
  • Meals tab
    • Enter any meal expenses that appear on the lodging receipt.
  • Other tab
    • Enter any additional expenses associated with your lodging, such as:
      • Business phone calls
      • Personal phone calls (1 per day allowed)
      • Modem access fee
  • If prompted, enter remarks in the Notes field.
  • Submit the itemized hotel receipt to the appropriate contact in your department.
