UC Ethics Briefing  
 
Summary: Read about the new online ethics briefing, required for all UCSD employees.

UC's online ethics briefing will familiarize employees with the Statement of Ethical Values and Standards of Ethical Conduct. All UCSD employees, including student employees, will be required to take the online briefing.

The briefing is available starting April 4, and must be completed by June 4. If you need to complete it, you will receive an e-mail in early April with a link to the online briefing. For more information, see the questions and answers below.

Q: I lost my link or I didn't get a link. How do I get the link?

A: Send an e-mail request or log in directly through the Web portal. You'll need to enter your employee ID and last name to log in through the portal and access your personal training session.

Q: I know a UCSD employee who didn't receive the e-mail about the briefing. What should they do?

A: They can log in through the Web portal. They will need to enter their employee ID and last name to log in.

Q: How will department heads know if their employees have completed the briefing?

A: Each vice chancellor office will receive periodic reports listing employees who have completed the briefing. The first report is scheduled to be issued by May 15. These reports will also break down information by department.

Q: I do not have access to the Internet. How can I complete the briefing?

A: If you do not have access to the Internet, you can access the briefing in computer labs managed by Academic Computing Services:
  1. From the list of computer labs, click on the room name to see lab hours and available times and make a reservation.
  2. On any Windows machine in the lab, locate the link to the Ethics Briefing Portal.
  3. Log into the computer using your campus network username and password. (See your department's Active Directory administrator for your username and password or contact the ACS Help Desk.)
  4. Log into the briefing using your last name and your employee ID number. The briefing is available in English and Spanish.
  5. Printing services will not be available, but the official record is kept online.
Departments requesting access to campus labs may provide someone from their area to help those needing assistance.

You can also participate in self-directed sessions with on-site technical assistance at Torrey Pines Center South in the Computer Training Center, suite 265A. Contact Enrollment Central to sign up for a time to take the Ethics Briefing. Attendees should come prepared with one of the following:
  • A printout of the email showing your personalized training link received from ethicsbrief@ucsd.edu
  • Your employee ID number and a confirmation from ethicsbrief@ucsd.edu that you are registered to take the briefing.
There is a printer in the room that you can use to print your certificate if your department requires it. An official record is kept in the briefing database. Note: The record in Enrollment Central is for reservations only. The official record of your completion of the briefing will be in the vendor's database.

Q: I am a Human Resources contact and I need to provide my departmental employees access to the briefing. How do I make those arrangements?

A: Please contact ethicsbrief@ucsd.edu to schedule a self-directed session for your group at Torrey Pines Center-South or follow the instructions above for making reservations on campus.

Q: Why do I have to do this?

A: The UC Regents and UC President Robert Dynes have required wide dissemination of this briefing to familiarize all UC employees with the Statement of Ethical Values and Standards of Ethical Conduct, which the Regents adopted in May 2005. The goal is to create a shared understanding of these principles and standards throughout the UC system and to promote dialogue about ethical behaviors and decision-making. Campuses are accountable to their chancellors, President Dynes, and the Regents for full participation in the briefing. Making an institution-wide commitment to this program is one way to demonstrate to the citizens of California that we take seriously our role as stewards of the public trust.

Q: By when do I have to complete the ethics briefing?

A: The UC Office of the President has asked that UCSD employees complete the ethics briefing by June 30, 2007.

Q: I have already taken other ethics training. Do I have to do this as well?

A: Any prior required training you may have received was developed to deal with issues specific to a departmental requirement or to a state or federal regulatory agency (for example, research ethics for an NIH training grant). The UC Ethics Briefing is designed for a different audience — UC employees — and is not interchangeable with any other ethics training.

Q: Why do I have to take this briefing and others on campus do not?

A: All University employees must complete the briefing. Employees who were not included in the current briefing rollout may be notified at a future time to take the briefing. An employee is defined as someone who receives compensation through the campus payroll system. Some individuals on campus, such as graduate students and some postdoctoral scholars, are compensated in ways that do not fit within the definition as it applies to this program.

Q: How long does it take to complete the briefing?

A: The briefing is designed to take about 30 minutes. Individual experiences may vary. The program will allow you to save and re-enter the briefing module at a later time.

Q: If I only have time to do part of it, can I complete it later?

A: Yes, you can complete the survey later. The survey remembers where you left off, so you will return to the uncompleted portion of the survey.

Q: Will a version be available in Spanish?

A: Yes. Select an English or Spanish version when you log in. For the two English videos in the briefing, Spanish transcripts are available.

Q: Is the program ADA compliant?

A: Yes. The program is text-based. There are two videos in the briefing, and links to transcripts of the videos are provided.

Q: How do I print my certificate?

A: After you complete your training session, you can click a link to receive your certificate. The link opens a new browser window, allowing you to print the certificate.

Q: Do I need to keep my certificate?

A: The official record of your course completion is kept in the training database. The certificate is for you to keep.

Q: I lost my certificate. How can I replace it?

A: Log into your training session with either your personalized e-mail training link or through the Web portal. After you log in, click the link related to receiving your certificate of achievement.

Q: Does my score matter or does anyone know how I did?

A: The ethics briefing is designed to raise your awareness about the UC values and standards. Your score is not tracked. The system tracks only whether you have completed the survey and the amount of time taken to complete it. The average time to take the survey is 32 minutes.
