Background: These queries use the proposal database in the Data Warehouse, which is derived from Coeus, UCSD's integrated system for administering proposals, contracts, and grants.
The Proposal Data for Departments queries let you retrieve proposal information for your department based on criteria such as the research person (PI or co-PI), sponsoring agency, or proposal status.
There are two proposal queries:
- The Proposal Data for Departments query provides information on proposals submitted to the sponsoring agency. Use this query to see a list of proposals that have been submitted and are awaiting funding or to determine how many proposals have been submitted during a particular month or year.
- The Proposal Log Data for Departments query provides the roster of all UCSD proposal numbers generated by the Office of Contract and Grant Administration (OCGA) for PIs. Use this query to see all proposal numbers created by OCGA for your department during a particular time period.
You must have access to mainframe IFIS or Darwin accounts to use either of these queries.

What data is in the proposal database?
- The latest snapshot of a proposal (migrated from the Coeus system every night)
- Proposals that have made it to the submitted status
What data is excluded from the proposal database?
- Earlier revisions of proposals
- Comments and notes entered by administrative staff
- Proposals that were voided or haven't been submitted yet
- Proposals that weren't funded and are more than 24 months old (mandated by the Academic Senate)
