How to Pay for an Honorarium  
 
Summary: People invited by UCSD to serve as guest speakers or participants in special events may be paid an honorarium. Honorarium payments are paid in lieu of reimbursement of travel expenses or any other payment of fees for service. If you have received authorization, use these step-by-step instructions to request an honorarium payment.

What to do How to do it
1 Determine the recipient's visa status.
  1. If the payee is a U.S. citizen, proceed to Step 2.
  2. If the payee is not a U.S. citizen, ask the payee to complete the: For for more information and instructions on these forms, see Tax Witholding for Non-U.S. Citizens.
  3. The payee must also complete the Certification of Academic Activity (PDF) form if the payee has entered the United States on one of these visa types or classifications:
    • B-1
    • B-2
    • Waiver for Business (WB)
    • Waiver for Tourist (WT)
Note: The recipient must complete the required forms before an honorarium can be issued.

2 Gather information.
  1. Gather this information:
    • The payee's Social Security number (SSN) or
      Individual Taxpayer Identification Number (ITIN)
    • The payee's name and address
    • The payee's employment status (UC employee or non-employee)
    • California residence status
    • Country of residence (non U.S. citizens only)
    • The dates of the honorarium
    • The purpose of the honorarium
Note: Non U.S. citizens who are ineligible for a SSN must apply for an ITIN in order to be eligible for an honorarium payment.

3 Create a payment authorization.
  1. Follow payment authorization instructions for Payment Authorization online.
Note: To use Payment Authorization online, you must first complete the Payment Authorization class through Staff Education.
