How to Send Inventorial Equipment to Surplus Sales

Summary: Follow the steps on this page to send inventorial equipment to Surplus Sales.
If UCSD has title to a piece of inventorial equipment in your department that you have no further use for, you may send it to Surplus Sales.
UCSD has two types of equipment:
- Inventorial equipment has an acquisition cost of $5,000 or more and must be tracked as property through EAMS (Equipment Asset Management System) and through UCSD’s financial system.
- Non-inventorial equipment has an acquisition cost of $1,500-$4,999 and must be tracked only through the financial system, not through EAMS.

How to do it |
| 1 |
Determine if the inventorial equipment is excess (if your department has no further use for the equipment). |
- Check with the principal investigator who has custody of the equipment.
- If the equipment is not excess, go to alternative Ways to Dispose of Equipment.
- If the equipment is excess, go to to step 2.

Determine who has title to the equipment. |
- Check the ID tags on the equipment if possible.
- If you see 2 equipment tags (UCID and government), the equipment may not be sent to Surplus Sales. Contact Bessie Douglas at (858) 534-2847 for instructions on how to proceed.
- If you see only 1 tag (UCID), go to step 3.
or
- Check EAMS.
- If EAMS has an F in the Title Indicator section, the equipment belongs to the federal government and may not be sent to Surplus Sales. Contact Bessie Douglas at (858) 534-2847 for instructions on how to proceed.
- If EAMS has a U in the Title Indicator field, the equipment belongs to the University. Go to step 3.

Verify that the equipment is free of contamination. |
- Equipment that may have come in contact with hazardous materials must be certified contamination free before you send it to Surplus Sales. See How to Get a Decontamination Clearance for Equipment or Facilities for instructions.

Complete the EIMR. |
- Complete the EIMR in EAMS, and the EIMR will be forwarded electronically to Surplus Sales.
or
- Download and complete the EIMR (PDF) on paper, forward to Surplus Sales via fax (858) 578-9344, and send the original to Surplus Sales, Mail Code 0046.

Surplus Sales will contact you regarding the acceptance of your equipment. |
- If Surplus Sales accepts your equipment, check EAMS to see that the equipment's record has been removed from your inventory.
- If Surplus Sales rejects your equipment, check alternative Ways to Dispose of Equipment.
