Cost Sharing System: How to Inactivate or Delete a Miscellaneous Budget  
 
Summary: Find out how to inactivate or delete a miscellaneous budget in the Cost Sharing System (CSS).
What to do How to do it
1 Decide whether you want to inactivate or delete the budget.
  1. The only item you can correct on an existing budget is the amount. If you need to change something else on a budget, you have to establish a new budget and either inactivate or delete the existing budget.
  2. Delete budget: This is the preferred choice. Choose this option unless the cost sharing report has already been sent to the agency.
  3. Inactivate budget: Choose this option only if you want existing transactions moved to the new budget. Before doing this, establish a new budget.
2 Go to the Inactivate or Delete Miscellaneous Budget function in FinancialLink.
  1. Go to the Cost Sharing System in FinancialLink.
  2. Go to the Reports screen.
  3. Choose the Cost Sharing Home Page option under Cost Sharing.
  4. Select Budget.
  5. Select Inactivate or Delete Misc Budget.

You must have a valid User ID and group identifier to access the Cost Sharing System. If you don't have a User ID or group identifier, contact your departmental security administrator (DSA) for assistance.

Note: CSS is case-sensitive. Enter financial information in all caps.

3 Enter contract/ grant information requiring cost sharing.
  1. Fund: The fund number is mandatory.
  2. Organization and Program: Organization and program numbers are optional unless the fund has multiple organization and programs and this budget spans all of them.
  3. Click Submit Form.
Use the Find Fund/ Award/ Org/ Prog button to find information sorted by fund number. Use the Find Award/ Fund/ Org/ Prog button to find information sort by award number.

4 Select budget to inactivate or delete.
  1. Choose the budget to inactivate or delete by clicking the check box next to it.
  2. If you are inactivating the budget and want to transfer existing transactions to the new budget, enter the ID in the Transfer Transactions to Budget ID box and select transactions to be moved to the new budget.
  3. To delete the budget, click the Delete button at the bottom of the page.
  4. To inactivate the budget, click the Inactivate button at the botton of the page.
Note: You cannot delete a budget if the cost sharing report has already been sent to the agency.
