How to Run a Proposal Log Query: Proposal Numbers Generated for Your Department  
 
Summary: See an example of how to find UCSD proposal numbers generated by OCGA for your department within a particular year.
What to do How to do it
1 Find out how to use the query tool, if necessary.
  1. Review How to Retrieve Data Using QueryLink.
2 Go to the Proposal Log for Departments query in FinancialLink.
  1. Access the Proposal Log Data for Departments query in FinancialLink.
Note: If you don't have access to FinancialLink, follow the directions in How to Get a User ID (Business Systems).

3 Make your selections in the query fields.
  1. On the Proposal Log tab:
    • Select starts as from the drop-down list next to Proposal Number.
    • Enter the year for which you are retrieving data, e.g., 2005.
    • Select UCSD Number Assigned in the box to the right of Proposal Log Status.
  2. On the Department tab:
    • Select your vice chancellor area from the drop-down list next to VC Department Name.
  3. On the Sponsor tab:
    • Click the checkbox next to Sponsor Name.
4 Submit your query.
  1. Click the Submit button to run the query.
  2. Your query will show up in your browser window as one long row. To save the data to an Excel file or to make a chart, make a selection from the drop-down box to the right.
5 View query results.
  1. Query results will include proposal log status codes. Possibilities are:
    • Void: Proposal number generated for a proposal that was never submitted due to error or PI decision
    • UCSD Number Assigned: PI has not yet submitted RES form to OCGA
    • Under Review: Request for Extramural Support (RES) form has been submitted to OCGA but may still be undergoing review for submission to the agency
6 Modify your query, if needed.
  1. After running your query, you can make changes to your selections:
    • Click the check box next to a field to have that field display on the query results.
    • Un-click the check box next to a field to have that field not display on the query results.
    • Enter values in the boxes next to fields to further refine the query.
