Appointment to a Non-Department-Based Endowed Chair (General Campus)

Note: A non-department-based chair is assigned to a general campus division as a whole.
Who takes action Action to take
1 Divisional dean
  1. Engages in a consultative process to identify the candidate(s) for the endowed chair
  2. Selects a committee that:
    • Consists of five members representing the division
    • Consists only of members who are independent of the candidates (e.g., no collaborators or co-authors)
  3. Provides the committee with the candidates' curriculum vitae (CVs) and the approved presidential item
2 Committee
  1. Reviews the candidates' scholarly records to ensure they are:
    • Highly distinguished and meritorious
    • Harmonious with the stated terms, goals, and purpose of the endowed chair
  2. Prepares a report recommending a nominee for the endowed chair
  3. Sends the report to the dean
3 Divisional dean
  1. Reviews the committee's report
  2. Decides whether to endorse the nomination
  3. Writes a letter indicating the decision
  4. Sends the letter and the nomination packet to the Academic Personnel Office
The nomination packet that is forwarded to the APO should contain:
  • Candidate's CV
  • Academic appointment file (if an outside candidate)
  • Committee report
  • Dean's recommendation letter


4 Academic Personnel Office (APO)
  1. Prepares the nomination packet for submission to the Senate Committee on Academic Personnel (CAP)
  2. Includes the nominee's most recent academic advancement file in the packet if the candidate is a current UC faculty member
  3. Ensures that the following items are included with the packet:
    • Approved presidential item
    • Approval from the Committee on Educational Policy (CEP) or Graduate Council
  4. Forwards the file to Senate Committee on Academic Personnel (CAP)
A complete nomination packet includes:
  • CEP or Graduate Council approval
  • Approved presidential item
  • Candidate's CV
  • Candidate's most recent academic review file (if a UC faculty member)
  • Candidate's academic appointment file (if an outside candidate)
  • Committee report
  • Dean's recommendation letter


5 Senate Committee on Academic Personnel (CAP)
  1. Reviews the nomination packet and academic file
  2. Decides whether to act as its own ad hoc or select an ad hoc committee from a campus-wide membership
  3. Renders a recommendation to the senior vice chancellor for Academic Affairs
Note: If an outside candidate is recommended, CAP renders two recommendations, one for the endowed chair and another for the appointment.

6 Senior vice chancellor for Academic Affairs (SVCAA)
  1. Makes the final decision on the academic appointment
  2. If favorable, sends an offer letter to the candidate via the APO with copies to all reviewers
  3. If not favorable, sends a letter to the department chair with copies to all reviewers
If an outside candidate is selected, the candidate must first accept the offer of academic appointment. The chair appointment process can begin only after the candidate accepts the faculty appointment.

7 APO
  1. Sends the chancellor's letter appointing the candidate to the chair
  2. Sends copies of the chancellor's letter to:
    • SVCAA
    • CAP
    • Divisional Dean
    • Director of development for Academic Affairs
    • Donor Stewardship Office
  3. If the nomination to the chair is not approved, the SVCAA sends a letter to the divisional dean with copies to all reviewers.
8 SVCAA
  1. Within two weeks of the chancellor's letter, sends a second letter to the candidate setting forth the details of the endowed chair with copies to:
    • APO
    • Divisional dean
    • Department chair
9 APO
  1. Sends an e-mail communicating the candidate's response to:
    • SVCAA
    • CAP
    • Divisional dean
    • Donor Stewardship Office
