How to Add Freight Costs to Existing Inventorial Equipment

Summary: Follow the steps below to add freight costs to an existing piece of inventorial equipment.
UCSD has two types of equipment:
- Inventorial equipment has an acquisition cost of $5,000 or more and must be tracked as property through EAMS (Equipment Asset Management System) and through UCSD’s financial system.
- Non-inventorial equipment has an acquisition cost of $1,500-$4,999 and must be tracked only through the financial system, not through EAMS.

Submit the freight bill for payment. |
See How to Process Freight and Commercial Transportation Bills.
Note: Write the purchase order number for the equipment on the freight bill.

Complete an Equipment Inventory Modification Request (EIMR) to add the freight to the equipment value. |
- Download the EIMR (PDF).
- Check the Add Freight Costs box in the Transaction Type section.
- Enter the Fund number to which the freight costs will be charged.
- To complete the Equipment Identification Section:
- In the UCID No. column, enter the UCID number for the equipment you want the freight applied to.
- Under Description, enter "freight."
- Under Cost or Value, enter the dollar amount of the freight.
- Have your department's property adminstrator sign the EIMR.

Submit the EIMR to Equipment Management. |
- Send the original and two copies of the EIMR:
- Via campus mail to Equipment Management, Mail Code 0953
or
- Via U.S. Mail to UCSD Equipment Management, 9500 Gilman Drive – 0953, La Jolla, CA 92093-0953

Confirm that the value of the freight has been added to the equipment in your inventory.

- Check EAMS to see that the equipment's record reflects an increase in value by the dollar amount of the freight.
