How Departments Buy From Surplus Sales  
 
Summary: UCSD departments, staff, and the general public can purchase used, excess University property from UCSD Surplus Sales. If your department wants to buy surplus items, follow the step-by-step instructions below.
What to do How to do it
1 See the Surplus Sales Web site for available items.
  1. Visit UCSD Surplus Sales online to view available items:
    • Divided by category
    • Listed alphabetically by description

  2. Important information:
    • You must have an index to purchase items for your department.
    • You may not use a federally funded index to purchase surplus items.
    • Department buyers do not use the bid process (which is used by the public).
    • Fixed prices are established depending on property age, condition, and depreciation.
    • Surplus Sales items cannot be purchased online through the Web site.
If an item on the Surplus Sales Web site interests you, write down its lot number, so you can easily find the item when you go to the Surplus Sales facility.

2 Visit the Surplus Sales facility and view the surplus items you wish to purchase.

  2. All surplus items are tagged with lot numbers for easy identification. View the items at the Surplus Sales facility:
    • Wednesdays 8 a.m. to 2 p.m.

    • OR
    • By scheduling an appointment with Steve VanDuine or James Bates, (858) 695-2660.
Note: All surplus items are used, not new, and sold "as is, where is" with no warranty. All sales are final.

3 Purchase your items with your department's index.
  1. Give your department's index to the Surplus Sales staff and receive a receipt with a transaction number for the items you purchase.

  2. Keep the receipt for your records and to check the charges to your index.
4 Remove the items you purchase.
  1. Arrange to pick up your items at the Surplus Sales facility:
    • Wednesdays 8 a.m. to 2 p.m.

    • OR
    • By scheduling an appointment with Steve VanDuine or James Bates, (858) 695-2660.

  2. Delivery is available at an additional cost. The charge is based on:
    • Size of each item
    • Number of items delivered
    • Where the items are delivered
    Typical delivery days include:
    • Campus: Tuesday mornings
    • Hillcrest: Friday mornings

    To arrange for delivery, contact Steve VanDuine or James Bates, (858) 695-2660.
Note: All items must be removed within seven days of purchase.

Notice: UCSD employees may buy items from Surplus Sales for personal use. Exceptions: Employees or near relatives of Material Support Services; and UCSD employees or near relatives when the property originates from the employee's department. A "near relative” includes a spouse, mother, father, child, or sibling, and step-relatives or in-laws in the same relationships.
